Absence and Holiday Absence

If your child is absent, please inform the school on the first day of absence by telephone:

Please contact the school on each day that your child is not attending. 

What are a school's responsibilities when a child is absent?

If a pupil is absent, all schools have a responsibility to contact the parent or carer on the first day of absence and continue to make every effort to locate the pupil. When schools have identified the child is not in school, the following procedures will be followed:

Day 1 - Phone call

A staff member trained to do so will telephone the child’s home to seek reasons for the absence and reassurance from a parent or carer that the child is safe at home.

School to advise the parent to:

  • Contact the local police station to inform them that the child is missing
  • Contact all people and places the child is known to talk to and visit to tell them that the child is missing and ask if they can help to find the child, by providing information which may shed light on the child’s whereabouts or actively searing for the child
  • Contact the family GP and Accident and Emergency Centres near where the child lives and goes to school, in case he/she has sustained an injury and been taken in for medical treatment
  • Report back to school if the child is found or remains missing

Day 2 - Follow-up phone call 

A subsequent telephone call must be made either from the school landline or preferably a mobile phone.

Day 3 – Write/email parents

Write or email to the parent in plain English, asking for contact to be made with the school immediately. Please give the parents/carers 3 working days to make contact and if you are aware that English may not be the parent’s first language, copy the letter into a language that may be more accessible. 

Day 5/6  - Home visit

Arrange a visit to the home address ensuring that risk assessments are in place 

Schools should always assess the child’s safeguarding risk at their own address using thresholds and pathways. For example, is there a risk of forced marriage, child sexual exploitation, domestic abuse, radicalisation, honour based violence? If the judgement is the child is at risk of harm, schools will contact the police or social care immediately

Once these checks are completed (or within 10 days, whichever is earlier)

If the child has not been seen and the parents or carers have not made contact with either, schools must report the child as missing from education.

Children missing from education

There are significant child protection implications when the whereabouts of a child is not known. The local authority has a duty to locate, track and monitor children missing from education and support them in returning to education,

Collection of children

If your child has to leave school for any reason, we ask that you come to the main reception to collect him/her. If you are going to be late collecting your children, please telephone us as soon as possible.

If your child has a medical appointment, please bring a copy of the appointment letter and show to office staff.

The school day finishes at 3.15 pm and children will be released from around 3.20pm, in order to give them time to collect their belongings and to hand out letters etc.

Please wait outside the classroom dismissal area and your child will be released to you.

Family holiday requests during term time

This Guidance reflects the current legislative framework for parents requesting a leave of absence. The Education (Pupil Registration) (England) (Amendment) Regulations 2013 have amended Regulation 7 of the 2006 Regulations to prohibit the proprietor of a maintained school granting leave of absence to a pupil except where an application has been made in advance and the proprietor and the proprietor considers that there are exceptional circumstances relating to the application.

 All leave of absence requests will be unauthorised unless the circumstances are exceptional.  If you believe that you have an exceptional circumstance then you will need to contact the school directly and discuss why it is exceptional. 

Please visit our school office for a 'Leave of absence request form' which you will need to complete and return to the school office. Alternatively, you can download the form below and return it in person or via email. Any questions about this form, please speak to Mrs James, Mrs Shipley or Mrs Bates.

Where the Headteacher is satisfied that there are exceptional circumstances to warrant the request of the leave of absence but has additional concerns such as the timing of the absence, the pupils' attendance record, then s/he may still not authorise it.

These absences may be referred to the Education Entitlement Service for consideration and could result in the issue of a fixed penalty notice. In all other cases of unauthorised absence accrued overtime, a Warning letter will be issued by the Education Welfare Service prior to a penalty notice. The trigger for a Warning letter will be at least 10 sessions of unauthorised absence. A penalty notice may be issued, after a Warning letter, if there are a further five sessions or more unauthorised absences.
